Procurement Specialist II - Stony Brook CPMP

Location: Stony Brook, NY; At the manager's discretion, position is eligible for our hybrid work model.

Schedule: Full-time

Days/Hours: Monday - Friday; 8 AM - 4:30 PM  

Salary Range: $62,400 - $71,984 (pay will be determined based on experience, preferred qualifications, and education)

Responsibilities

SUMMARY: The Procurement Specialist II is responsible for assisting administration of Procurement Platform software, inclusive of Contract Lifecycle Software, E-Signature, and Procurement Product & Buying Platform.  The role is significant to vendor administration and relationships and is a liaison to key strategic 3rd party suppliers and buying groups.

 

Job Duties & Essential Functions:

 

Procurement/Contracts/AP:

  • Analyze and report vendor data, including detailed spend analysis.
  • Independently oversee contract repository
  • Assist administration of Contract Lifecycle Management Program and DocuSign platforms
  • Accountable for managing records for correspondence and documentation in relation to established contracts and those in progress.
  • Manage and execute contracts by moving forward with closeout, extension or renewal according to what is best for the company.
  • Facilitate strategic sourcing of products and services, maintaining and developing vendor relationships
  • Determine opportunities for consolidated account structures for ordering and billing with current and future vendors, accommodating accounting coding requirements
  • Vendor contact for inquiries
  • Procurement point person for departments, routinely answering inquiries regarding vendors and system, providing customer service and training on procurement system and concepts
  • Procurement Software administrator, maintains system configuration and assists with future implementation initiatives
  • Procurement software user maintenance, updating and created accounts, updating approval workflows, etc.
  • Procurement software vendor maintenance, updating and creating vendor profiles, product catalogues, etc.
  • Identify and provide recommendations for cost efficiencies.
  • Support Smartsheet Software for PO and Vendor repository, and product addition process.
  • Support and assist in production of standard and blanket purchase orders as needs and/or assigned.

Other:

  • Develop and maintain procurement policies and procedures manual.
  • Assist with maintenance of CPMP Finance internal website for all vendor and procurement material
  • All other projects as identified.

Qualifications

Required Qualifications:

  • Bachelor’s degree. In lieu of degree, will accept 4 years of related experience.
  • One year of related experience
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Accounting experience in an academic healthcare organization
  • Prior procurement software experience.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate with patients, staff and medical providers. The employee must be able to exchange accurate information in these situations. This position is largely sedentary and requires the employee to remain stationary for a majority of the day. Any additional physical demands will be outlined and provided by management.
